Why do Surat diamond desks outgrow the daily Excel?

A diamond trading platform for a Surat diamond export house
Yukti AI built a private diamond trading platform for a Surat diamond export house that sells loose, IGI-certified polished diamonds to jewellers, retailers and overseas trade desks. It replaces the daily Excel on WhatsApp, phone holds and remembered prices with one live stock book, a private portal per client, timed holds, AI search, enquiries, and WhatsApp messages composed in the app for stock and hold events. It took about 7 days.
It was built on the firm's real stock list, not dummy data: 16 columns holding 408 diamonds in 13 shapes, from 0.50 ct to 20.25 ct, every stone with an IGI report number. The book is mostly white D to H, with Fancy Vivid Pink, Fancy Intense Pink, Fancy Vivid Blue and Fancy Intense Yellow stones, and clarities from IF to SI1. The owner, operations and sales desk work in a desk view; each outside client gets a private portal onto the same book.

Diamond inventory management software: one live stock book instead of a daily Excel
Diamond inventory management software keeps one current record per stone, with grading, certificate, rate and status, and shows each person only the slice they are allowed to see. In the platform Yukti AI built, the daily Excel becomes that book: the desk sees everything at base price, and each buyer sees only their permitted stones at their own price.

Nobody retypes stock. The import reads the columns the firm already used and turns each into a proper field. No Excel column name appears on screen, and re-running the conversion on the same file gives an identical book.

Statuses, stone pages and the desk dashboard
Every stone is Available, Hold Requested, On Hold, Sold or Memo. Each diamond has a page with its full grading report and a table showing what every client would pay for it. The dashboard opens on total, available, on-hold, new-today, repriced and sold-or-memo counts, active clients and pending enquiries, with a live countdown of running holds. Analytics break the book down by shape, carat band, colour, clarity and price band.
Parcels, packets and lots
The export house trades certified single stones, so its book is stone-wise. A parcel and lot layer (pieces, weight, average $/ct, split and merge) can be built on the same book for desks that sell smaller goods by the parcel; it is not part of the current build.
Excel import with an AI data-quality check
The daily file goes through a check before any portal changes. An admin drags in the .xlsx, .xls or .csv; the import parses it, checks quality, compares it with the previous book, and waits for the admin to apply it. Buyers only ever see a list that has passed review.

Buyer-specific pricing and stock visibility per client
In diamond trading software built by Yukti AI, the same stone can carry a different price for every buyer, and each buyer can see a different slice of the book. The rules are stored per client and applied automatically, so the portal, search, AI answers and WhatsApp replies all quote the same terms.
Same stone, a different price for each buyer
Each client has a pricing tier (Preferred, Standard or Partner) and a percentage markup on the base per-carat rate; their total is their rate × carat. The base rate is removed from the data sent to a client, not just hidden on screen, and price filters work on the client's own price. The desk edits tier, markup and access mode on the client profile with a live preview.
Visibility rules: ALL, SELECTED and RESTRICTED
ALL shows the whole book. SELECTED hides chosen shapes, for example Portuguese, Marquise and modified cuts for a retail chain. RESTRICTED also caps carat weight, for example nothing above 5 ct for a partner desk. A restricted stone is left out of search, recommendations, AI answers and direct links; the client sees only "not available on your portal". Clients never see each other's prices, holds, enquiries or notes, or who is holding a stone.
How do diamond holds work in the software?
A buyer requests a hold of 2, 4, 12 or 24 hours and the price is locked at that moment. The desk approves or declines; an approved hold runs on a visible countdown and expires by itself, returning the stone to the book and notifying both sides. Only one live hold is allowed per stone.
The hold desk has pending, live and closed tabs, and a timer expires lapsed holds on its own, so a forgotten hold never blocks a stone for days. A second hold request on a held stone is refused; the second buyer sees "on hold", never who holds it, and can tap "Notify me when available". Every change goes into an audit trail with who made it, and hold analytics show what is awaiting a decision, what expires within two hours, and what converted or lapsed.
AI smart search that understands trade shorthand and Gujlish
Buyers and staff type the way they talk. The smart search Yukti AI built reads trade shorthand and Gujarati-English, so "Bhai 1.5 thi 2 carat cushion D to F VS under $100 hoy?" is read as Cushion Brilliant, 1.50 to 2.00 ct, colour D to F, clarity VS1 or VS2, under $100 per carat at that client's own price.

Results are ranked the way a dealer sorts: closeness to the middle of the carat range, then clarity, D–F colour, media, availability and newness. If nothing matches, the search loosens one criterion at a time and says which one it changed; it never claims stock that is not in the book. One parser runs the client search, the owner copilot, the WhatsApp assistant and requirement detection in the team feed, so the same words give the same answer everywhere.

Which WhatsApp automations does a diamond desk need?
A diamond desk needs WhatsApp messages that fire from real events in the book, not a daily broadcast. The trading platform defines seven event-driven automations and a client assistant that answers only from that client's visible stock at their price. Messages are composed inside the platform; the WhatsApp Cloud API connection point is built and ready to connect.

Diamond manufacturing software in Surat: what we would build
Yukti AI has not yet built manufacturing software for a diamond cutting unit, so everything here is labelled buildable, not delivered.
