A business management system for an elevator company — site survey to AMC
How Yukti AI turned Maven Lift's manual, re-typed quotation process and phone-based site coordination into one mobile system: a digital site survey that feeds an auto-quotation builder, 10-stage project tracking, a karigar mobile login with photo proof, milestone payment visibility and AMC management.
Maven Lift manufactures and installs hydraulic goods lifts and passenger MRL gearless elevators. Quotations were prepared by hand in two formats with specifications re-typed for every offer, site measurements were noted on paper, project progress lived in people's heads, and karigars reported by phone. Yukti AI built a single elevator-specific ERP covering enquiry, digital site survey, a quotation template builder rebuilt from Maven's own formats, 10-stage project tracking, milestone payments, karigar task login, AMC and breakdown ticketing — delivered in one week on top of a working prototype.

The elevator business is a long chain of promises
An elevator company does not sell a product off a shelf. It sells a promise that runs for months and then continues for years:
A builder or factory enquires. Someone visits the site and measures the shaft. A techno-commercial offer is prepared — capacity, stops, door type, cabin finish, brand of motor and controller, transport, installation, warranty, AMC. If it is accepted, the order goes into design, then production, then material dispatch, then erection at site by karigars, then testing, then handover. After that the lift needs an annual maintenance contract, and when it breaks down, someone has to be there quickly.
Every step depends on the accuracy of the step before it. If the shaft measurement is wrong, the quote is wrong, the design is wrong and the lift does not fit. If a milestone payment is missed, the project stalls. If an AMC renewal is forgotten, a paying customer quietly lapses. The whole business runs on getting a sequence of details right, in order — which is exactly the kind of thing paper and phone calls are worst at.
The single highest-value thing a system can do for an elevator company is make sure the surveyed measurements, the quotation and the design are the same numbers — and that nothing in the enquiry-to-AMC chain is being carried only in someone's memory.
What Maven Lift told us was slow
- "Every quotation is re-typed." Two different offer formats, specifications typed fresh for each one — slow, and open to blank fields and mismatched values.
- "Site measurements are on paper." Noted at site or over the phone, then re-entered while preparing the offer — a second chance to introduce an error.
- "Once an order is confirmed, progress lives in people's heads." No screen showing where each project actually is.
- "Payments are reconciled separately." What has been received against each project, and what is still due, was a separate exercise.
- "Karigars report by phone." The office had no reliable, time-stamped record of what work was completed at site.
- "Follow-ups depend on memory." Whether an issued quotation was chased depended on the salesperson remembering — so warm enquiries went cold.
The quotation, before and after
Before
- Specs re-typed into one of two formats for every offer
- Shaft measurements copied from paper by hand
- Blank fields and mismatched values slip through
- No revision history — which version did the customer get?
- Quote validity and expiry tracked in memory
- Project status known only by asking around
After
- Survey data flows straight into the quotation builder
- Two templates rebuilt digitally, with spec rows shown/hidden per quote
- Auto reference number, subject, file name and amount-in-words
- Revision control (Rev-0, Rev-1…) with full history
- Offer validity and expiry alerts built in
- Every confirmed order is a project on a 10-stage tracker
Why not a generic CRM or ERP?
Maven Lift did not need "a CRM". It needed a system that speaks elevator. A generic CRM would track leads and a generic ERP would track invoices, but neither knows what a "stop" is, or a shaft dimension, or an erection milestone, or an AMC. The quotation — the single document the whole business turns on — would have to be built and maintained entirely outside the software.
Yukti AI's approach was to take Maven Lift's two existing live quotations — the hydraulic goods-lift short-form offer and the passenger MRL gearless techno-commercial offer with its Annexures I–IV — and rebuild them as a digital builder. Development started from Maven's own paperwork, not a blank screen.
How the system is put together
The whole enquiry-to-AMC cycle in one flow, accessible from mobile by the office and by karigars at site.
The modules
Dashboard & Alerts
Live counters for overdue follow-ups, today's follow-ups, new enquiries and pipeline value, colour-coded red / amber / green so nothing is missed, with a role-based view so the owner, sales and karigars each see only what concerns them. Benefit: the day starts with what needs chasing already on the screen.
Enquiry & Lead Management
Every enquiry captured with customer name, site location, project type, source and requirement; assigned to a salesperson with a next follow-up date; every call remark logged; and stage tracking from New → Contacted → Survey Done → Quoted → Won / Lost with a lost reason. Benefit: warm enquiries stop going cold because the system, not memory, holds the follow-up.
Site Survey Module
A digital survey form filled on a phone at site: shaft width, shaft depth, pit depth, headroom, floor-to-floor height, number of stops, door opening, cabin size, machine room and power availability, plus existing-lift details, photos, video and free-text remarks. The survey data flows straight into the quotation — no re-typing, no measurement mismatch. Benefit: the quote is built from the numbers that were actually measured.
Quotation Template Builder
Maven's two existing offer formats rebuilt as a fast, error-free digital builder:
- Two ready templates: the hydraulic / goods-lift short-form offer, and the passenger elevator techno-commercial offer with Annexures I–IV
- Builder elements: company logo, customer details, product & specification table, terms & conditions, payment terms, GST, transport, installation, warranty, AMC, notes, authorised signature, footer
- Auto reference number, auto subject line, auto file name and auto amount-in-words
- Specification rows shown, hidden or highlighted per quotation, exactly as done today
- Revision control (Rev-0, Rev-1…) with full history, plus offer validity and expiry alerts
- One-click PDF generation on the Maven letterhead, ready to send
Benefit: a complete, consistent techno-commercial offer in minutes, with no blank fields and a clear record of which revision the customer received.
Master Data Library
Reusable data that speeds up every future quotation: lift types (MRL gearless, traction, hydraulic goods, hydraulic home, cargo, hospital, automobile), a brand library for motor, door, rope, guide rail and control panel, a reusable terms & conditions clause library, a preparatory-work checklist library, and a rate card by capacity, stops, door type and cabin finish. Benefit: pricing and clauses are picked, not re-written.
Project Tracking
Every confirmed order becomes a project with a unique code (for example ML-1024) on a ten-stage pipeline: Quotation → Order → Site Survey → Design → Production → Material → Installation → Testing → Handover → AMC. Percentage progress and a status indicator on each stage, with owner-level visibility across every live project. Benefit: "where is the Rajkot job" is a screen, not a round of phone calls.
Payment Tracking
A milestone-wise payment schedule per project (30/60/10, 50/30/20 or custom), with total value, amount received and amount pending shown on the project card, and an outstanding report across all projects in one screen. Benefit: a stalled project because of a missed payment milestone is visible immediately.
Task Management & Karigar Login
Tasks created against a project and assigned to a karigar with a due date; a separate, simple mobile login for karigars — task list, mark complete, upload photo proof, add remarks; and task counters per project for total, done, in progress and overdue. The office sees real-time site progress without a single phone call.
Extended modules (service & automation)
- AMC & Service Management — contract register with start date, expiry date and value; automatic service-schedule and expiry reminders; one-click AMC renewal quotation from the existing contract.
- Complaint & Breakdown Ticketing — a complaint logged against the installed lift, auto-assigned to a karigar, with response and resolution timers, a resolution photo, customer feedback capture, and site-wise breakdown history for recurring-fault analysis.
- WhatsApp & Email Automation — quotation delivery, follow-up reminders, payment-due reminders, AMC expiry alerts and project-status updates to the customer at each milestone, sent automatically.
- Reports & Analytics — enquiry-to-order conversion ratio, salesperson-wise performance, month-wise order value, karigar productivity, and project-wise quoted value versus actual for profitability visibility.
- Document Vault — project-wise storage of layout drawings, approvals, warranty cards and handover certificates, searchable by customer, site or project code.
Where AI fits in an elevator business
The Maven Lift build automates the repetitive parts of the cycle — quotation delivery, follow-up and payment reminders, AMC alerts, milestone updates. On top of that automation, Yukti AI's business management systems add an AI layer that turns the system's own data into a short list of what to act on:
- Follow-up prioritisation — of all the issued quotations, which are most worth a call today before they go cold, based on value, age and customer response.
- Conversion analysis — enquiry-to-order rates by salesperson, lift type, project size and source, so the sales effort goes where it converts.
- AMC renewal prediction — which contracts are due, which are at risk of lapsing, and the renewal value at stake.
- Stalled-project detection — projects whose stage progress has not moved when it should have, flagged before the customer notices.
- Plain-language questions — "which projects are behind on payment", "how many surveys converted to orders last quarter" — answered from the live data.

What changed
What the system does — described without invented numbers.
Technology & data
- Next.js (App Router, TypeScript) — fully mobile responsive; works on phone, tablet and desktop browser with no app to install.
- Supabase (PostgreSQL, Auth, Storage, RLS) — relational data for projects, quotations and payments, with role-based access for Owner, Sales and Karigar.
- Tailwind CSS + shadcn/ui — a clean interface that a karigar can use with a two-minute orientation.
- @react-pdf — one-click quotation and AMC-renewal PDFs on the Maven letterhead.
- WhatsApp Business Cloud API + email — automated quotation delivery, reminders and milestone updates.
- Vercel — secure hosting, SSL and daily automated backup.
All data in the system is Maven Lift's property and can be exported at any time. Access is role-based with an activity log; Yukti AI retains the source-code framework, with handover negotiable separately.
If you sell, install and service on site, this is buildable for you
The Maven Lift pattern — site survey to quotation, stage-wise project tracking, field-staff mobile login with photo proof, milestone payments and AMC — is the same shape as a lot of businesses:
- Solar installers and EPC contractors
- HVAC, fire-safety and electrical contractors
- Modular kitchen, furniture and interior-fit-out firms
- Industrial equipment and machinery suppliers with installation and AMC
- Aluminium, glass and fabrication businesses (see the ZUNOWA case study)
